SMS/Text Chat With DoorSwap

DoorSwap provides a number of ways to use SMS Text Messaging to keep close to your tenants. Text messaging offers a convenient way to communicate quickly and effectively with a wide variety of renters.

Text chat sessions let you talk back and forth with tenants in real time.  Not only can you resolve questions and issues immediately, the conversations are permanently saved on the tenant’s DoorSwap account for later review.

DoorSwap include a robust double-opt in system, which requires the user to click on a link, agree to the types of texts they wish to receive, and then confirm their agreement by text as a final step.

If a customer sends you an unexpected text, DoorSwap will notify you of a “new inbound text”.

Use DoorSwap SMS Text Messaging to send monthly “payment due” reminders.  The message can include a “click here to pay now” link, which will present the user with a instant payment screen where they can enter a credit card number or bank account and pay their full balance.

Take Digital Signatures with DoorSwap

Digital signature is now a native feature of DoorSwap Management software.  After you complete a tenant move-in, tell your tenant to check their email on their phone!  Their lease is available for immediate access. They can review the lease document on their preferred device, and sign it right then. Or if you use DoorSwap to do online move-ins from your website, your tenant can complete the process when their lease is emailed to them for signature.

DoorSwap embeds the tenant’s actual signature in the designated places of the document, and the document is saved as a PDF on the tenant’s record in DoorSwap.  So you can further automate the move-in process, go paperless, and have instant access to signed documents from anywhere.

To make sure all your important documents get signed, DoorSwap will show you any unsigned documents that are still pending.  And best of all, the entire process is entirely built into your DoorSwap system.

Is It Better To Give Than Receive?

The primary function of management software has traditionally been collections and accounts receivable. For self storage companies with multiple locations, paying vendor invoices can also be a time consuming task. If you have on site managers with some free time, and your management software supports accounts payable, you can leverage your resources to make payables much easier.

Paying and archiving vendor invoices is a task well suited to cloud-based software designed with accounting in mind. As managers receive invoices from their vendors, they can enter these invoices into your software, and attach a scanned copy of the original. Your software can now push these payables in near real-time directly into your accounting software, such as QuickBooks Desktop. Checks can be printed immediately.

To keep a “sanity check” on invoice amounts, you can set spending limits on each vendor for each property. If the invoice is below this amount, the invoice data goes automatically to your accounting software. If the amount is higher than the limit, this invoice is flagged for approval by a district manager or home office employee. Once approved, these invoices then automatically continue to your accounting software.

Keeping a digital copy of your invoices attached to the payables is a good record keeping practice. And having your managers enter invoices is an efficient way to spread the task of payables across your existing employee base. Automating the payables workflow allows your accounting team to focus on revenue growth issues rather than data entry. Put your team and your software to work, and giving will be almost as rewarding as receiving.

Thoughts On Overbooking

Do you offer unit reservations to prospective customers? And does your management software let you monitor the current reservations versus availability of each type of unit? If you have this information at your fingertips during a sales call, you have the power to decide whether to overbook a particular type of unit.

Why would you want to overbook units? It’s a practice very common in the hotel and airline industry. They routinely oversell their inventory, knowing there will be a percentage of no-shows. Without the overbooked reservations, these no-shows would result in empty seat or rooms.

You know better than anyone what your no-show percentages are. For example, say that typically 25% of the people who reserve units with you never actually rent the unit. You could overbook that type of unit by 20% to increase your odds of a near 100% sell out. If you have 5 empty “Climate 10×10” units available with 5 reservations pending, you could go ahead and take one more reservation and overbook that unit. Previous experience tells you that at least one of those reservations will be a no-show.

What do you do if the 6th guy shows up? The risk side of this risk/reward practice is that you’ll have to give him a larger unit for the price of the original reservation. Not a huge risk, and if you optimize your overbooking percentages, this situation will rarely occur. Just make sure when overbooking that you do have some larger inventory available. The last thing you want to do is “walk a guest”, which is send someone with a reservation away because you have nothing at all to give them.

Don’t oversell your units until you have a good grasp of your no-show percentages. The perfect overbooking level balances the risk of discounts and chance of loss of goodwill against the extra revenue gained from a higher occupancy level. If you can get this right, you have another tool to maximize your margins.
